Food Drive Kit

This kit gives your church everything you need to run a successful food drive from start to finish. Work through each section in order and check off items as you complete them.

Planning

2–4 Weeks Before

Set a specific date, time, and location for the collection and distribution

Identify a Food Drive Coordinator from your congregation (staff or lay leader)

Contact Daily Bread to register your event in the app so volunteers are notified

Determine what food items you are collecting (non-perishables, fresh produce, both)

Arrange a vehicle or van for same-day transport to distribution sites

Set a collection goal — e.g., 200 pounds, 100 families, 50 volunteers

Brief your pastoral team so they can mention it from the pulpit 2–3 weeks in a row

Designate a secure, dry storage area in your building for incoming donations

Confirm your partnership status in the Daily Bread app is active

Promotion

1–2 Weeks Before

Print and post flyers in your lobby, bulletin boards, and restrooms

Include an announcement in your weekly bulletin (see Announcement Scripts page)

Make a 60-second verbal announcement from the stage on Sunday

Post on your church's social media accounts (sample posts below)

Send an email to your congregation mailing list

Ask small group leaders to mention it at their midweek gatherings

Set up a physical drop box in the lobby labeled 'Daily Bread Food Drive'

Share the QR code in all digital communications

Collection Day

Set up a clearly marked drop zone at your main entrance

Assign 2–3 greeters to receive donations and thank donors personally

Have bags and boxes available for people who forgot to bring their own

Keep a tally of total weight or number of items as donations come in

Post a running total on a whiteboard or digital display to create momentum

Take photos (with permission) for social media and impact reporting

Have the Daily Bread app open on a device to log incoming inventory

Provide water and light snacks for collection volunteers

At close of collection, consolidate all items and confirm transport logistics

Distribution

Getting Food to Families

Log all collected items in the Daily Bread app under your church's account

Coordinate with Daily Bread volunteers for same-day or next-day delivery

Sort items by type (grains, canned goods, produce, proteins) before handing off

Package family-sized bundles where possible — aim for 3–5 days of meals per family

Ensure perishables are refrigerated or distributed within 2 hours of collection

Record how many families were served and enter the data into the app

Thank your volunteers on the spot — a simple 'you just fed a family' goes a long way

Keep a small reserve of high-demand items (peanut butter, canned beans, rice) for urgent requests

Follow-Up

The Week After

Share the final numbers with your congregation (pounds collected, families served)

Post a thank-you on social media with photos from collection day

Complete your Monthly Impact Report and submit it to Daily Bread

Send personal thank-you notes or emails to your top 5–10 volunteer contributors

Debrief with your Food Drive Coordinator — what worked, what to improve

Ask 2–3 volunteers if they want to become regular Daily Bread delivery volunteers

Schedule your next food drive (quarterly is recommended for sustained impact)

Share one story from distribution day with your congregation — specific, human, real
